Can you help while our exhibit still works?
Yes. A survey can help you plan backups, clearer staff instructions, or an update to aging equipment while the exhibit is still in use. We start with what you want to preserve and explain the options. Making backups and carrying out updates are separate work, quoted for your approval before they begin.
What if we have no records or technical information?
Start with what you know: what visitors do, what they see or hear, and what you would like help with. Photos are useful if you have them. You don’t need to identify the equipment or diagnose a fault. Missing records are something the survey can help us understand.
What is included in a survey?
One fixed survey fee covers up to three named, agreed stations and a written report. We talk with staff, try the visitor controls, review available records, and inspect accessible equipment. The report explains what we found and the recommended next steps. Additional stations, backup work, repairs, recovery, and updates are quoted separately before work begins.
The survey is an inspection and recommendation. It does not include repairs, parts, creating backups, extracting files, or changing software. It is not electrical safety certification and may not reveal every intermittent fault. We agree on access and any temporary station closure before the visit, including effects on nearby exhibits.
What if the station cannot be repaired?
You still receive the report and recommendation, and the survey remains payable. Repairability and an immediate fixed replacement quote are not guaranteed. If access or information is insufficient, we record the limitation and agree on the next step.
Can the existing content and controls be retained?
Keeping familiar content and controls is the aim. Before you approve an update, we explain what can stay, what would change, and anything we cannot confirm. That depends on the equipment, available files, and permission to use them. Finding old files does not by itself mean they will run on newer equipment.
Does the survey fee count toward replacement?
The survey service fee actually paid is credited once against replacement work on the surveyed stations ordered within 180 days of the survey report. A separately paid recovery service fee is credited once against replacement of the same station ordered within 180 days of the recovery report.
Each credit applies once, not once per station. Credits have no cash value, do not automatically apply to smaller repairs or follow-up visits, and do not automatically include travel or expenses itemized in the quote. A standalone survey or recovery attempt remains payable if no replacement follows.
“Ordered” means accepted written authorization or a purchase order for the named replacement scope. Quote validity and parts availability are stated separately.
What if only a small repair is needed?
We recommend the smaller repair when it is sufficient. It receives a fixed quote that you approve before work begins. New, undocumented stations start with the fixed-fee survey.
What happens if content cannot be recovered?
You receive the findings and a recommendation. The agreed flat fee remains payable even if nothing useful is recovered. Work stops when the attempt is complete, its labor limit is reached, or continuing would exceed its scope. Additional work needs a revised written quote approved before it starts. A specialist recovery lab may be the better next step.
How do you prevent surprise bills?
The standard survey has one fixed service fee for up to three stations. Work beyond the survey is quoted separately. Same-day emergency bookings use double the standard service rate; your quote identifies the emergency charge and includes it in the fixed total. You approve the scope and total price before any work begins, by accepting it in writing or issuing a purchase order.
The total includes agreed parts, labor, installation, travel, testing, documentation, applicable sales tax, and any agreed expenses. The quote explains the limits, timing, and what we will check with you before calling the work complete.
The price stays fixed for the agreed scope. If that scope needs to change, we stop and agree on a revised written quote before any additional work begins. No unapproved charges.
How much travel is included?
Visits from our Puyallup base include 45 driving miles in each direction. We calculate travel beyond that allowance when preparing your quote and include the agreed amount in its fixed total. The allowance is per visit, not per station; shared travel is not charged twice.
The quote includes any agreed parking, tolls, ferries, collection visits, or shipping before you approve it. Traffic does not increase the agreed price. If the visit or travel arrangements need to change, we agree on a revised quote before proceeding.
When can work be scheduled? Is same-day help available?
Scheduled work: Monday–Friday work is scheduled after 6 p.m. Pacific. Scheduled evening appointments use standard pricing.
Same-day emergency visits: We offer visits after 6 p.m. Pacific at double the standard service rate, subject to availability and the work being within our scope. The premium applies to an agreed same-day emergency booking. Your written quote identifies the emergency charge and fixed total for approval before we book or begin work.
Email Nick to request a visit. We confirm the appointment, staff access, station closure, parts availability, and any equipment removal first. A same-day visit does not guarantee a completed repair that evening. New, undocumented stations still start with a paid survey. Recurring maintenance agreements and mail-in rescue are not offered.
What instructions and warranty come with the work?
Completed replacements come with a guide your staff can keep: how to start, stop, reset, and use the exhibit, plus simple checks if something goes wrong. We also provide equipment and connection records, necessary access information, and backups with instructions for restoring them.
Technical records include software versions, other software the exhibit needs, known limitations, and results of the agreed checks. We supply files we created or are allowed to share. Where practical, we show that a backup can restore the exhibit; we identify steps that have not been tested.
Your quote explains the warranty: what it covers, for how long, what is excluded, and how corrections are arranged. It also states what happens if the work cannot be put right. Smaller repairs have their own written terms. Email Nick about a fault. Same-day emergency visits are subject to availability and your written warranty terms; any charge must be agreed before booking. Uptime is not guaranteed.
